Dear Sir or Madam,
We are looking forward to welcoming you and your teams to Chipstead RFC for our minis festival on Sunday 13th October. With just two weeks to go, we are writing to give you some important information about your visit and to remind you to pay any outstanding invoices if you have not already done so.
We also enclose a player registration form which we ask you to bring with you on the day and have outlined some information for you to share with your teams and parents in advance of the day.
Start time
We plan to start our first matches promptly at 10am, aiming to give each team a good number of fixtures in a busy schedule before you can go home after lunch. We expect parking to be busy, so we would suggest that you aim to arrive between 9am and 9:30am.
Parking
Parking facilities will be made available on our playing fields on Chipstead High Road and will be clearly signposted on the day. Parking will be at a cost of £5 per vehicle (please bring change with you) which will include a free festival programme. Please ensure that you make use of this facility. Do not use the local pub car park or in the normal Chipstead RFC parking facility, which must be kept free for medical access only.
We have enclosed a map to indicate where the car parking spaces will be available. Marshals will be on hand on the day
Dogs
Our club operates on council owned land and as such dogs are allowed to the festival. However we ask that dogs are kept on the lead and under the owners control at all times and that owners take provisions to clear up any mess.
Referees
Every visiting team will be required to provide a referee to officiate some of the matches in their age group. A referee briefing for each age group will take place at 9:40am next to the Chipstead tent in each age group area. Please refer to the map full location details.
First aid
Chipstead has allocated a paediatric trained first aider who will be based in a central first aid tent in case of an accident. However, every team must have a nominated first-aider and should bring any necessary first aid equipment as a first port of call.
Food and drink
We are delighted to provide hot food and, weather permitting, a barbecue out of our clubhouse should any of you get hungry during the event. Please join us for freshly cooked rolls, chips, burgers and visit our bar for light refreshment throughout our festival. A tuckshop will be made available for the children in case any have a sweet tooth and you may even spot an ice cream van if you look around carefully.
Player registrations
We kindly ask that you complete the enclosed player registration form and be ready to bring it to our control tent before 9:45 am on the day of the festival. Please also bear in mind that we will abide by Surrey Rugby guidelines and that we expect teams to be of mixed ability and that no "streaming" will have taken place in your squads.
