2. FESTIVAL INFORMATION FOR VISITING TEAMS


VISITING LONDON IRISH AMATEUR RUGBY FOOTBALL CLUB AS A PLAYER, COACH OR SUPPORTER.

Where are LIARFC located?

Hazelwood the home of London Irish is located not far from the banks of the river Thames in Lower Sunbury.

By Car we are approximately 1 mile from Junction 1 of the M3 taking the exit for Lower Sunbury.

By train our nearest Station is Sunbury on the Shepperton Line from Waterloo. The station is approximately 18 minutes walk to Hazelwood.

By Bus the 216 (Kingston / Staines) and 235 (from Brentford) stop at Croysdale Avenue at the entrance to Hazelwood.

No Dogs

No dogs will be permitted entry to the ground. This is a condition of our license to use the facilities at Hazelwood. Anyone attempting to bring a dog into the festival will be refused entry. The only exceptions to this rule are registered assistance dogs. Please let us know in advance if you will be accompanied by an assistance dog by emailing youthgirls@liarfc.co.uk.

The following forms and resources are available to download for anyone considering hosting or going on tour. It is important to print off and fill in the relevant forms and return them to the RFU as soon as possible to give your tour official sign off. Please note each form has details of where it should be returned to (Click Here).

Car Parking

We are expecting the car park to be very busy, so please car share or use public transport where you can.

Limited parking will be available at the London Irish Hazelwood ground. Please obey the instructions of parking stewards at all times.

Out of consideration to residents in the immediate area please do not park in adjacent roads. The police are likely to remove any cars that cause an obstruction for emergency vehicles or are blocking residents’ driveways.

Coach Parking

If arriving by coach please notify youthgirls@liarfc.co.uk in advance and use the designated coach parking in the grounds of Hazelwood. Please follow the instructions of the parking marshals and only park in the designated area.

I have a blue badge. What do I do about parking?

For blue badge or disability parking please email youthgirls@liarfc.co.uk and we will allocate a parking pass.

Entry fees

Visiting clubs must have paid the entry fee invoice prior to attending the festival. For any queries, please contact youthgirls@liarfc.co.uk.

Schedule and draw

U12 and U14 matches will take place on Saturday 13 April, with U16 and U18 matches taking place on Sunday 14 April.

The full schedule for the festival, along with match draws and playing schedule, will be published closer to the event. Please note that timings may change during the course of the weekend.

First Match

The first matches will be at 10am on both days.

Registration

Team must register at the main control tent before play begins. Please make sure we have a mobile number for each team.

Referees’ Briefing

There will be a referees’ briefing prior to the start of play for each age group (see ‘First Match’ section) at the main control tent. All teams must supply referees familiar and competent with the published rules. We request that referees give a mobile contact number for use on the day.

Prize Giving

Medals and trophies will be presented at the end of play.

Refreshments

A variety of retail outlets selling hot and cold food and drinks are located around the site. The club bar will be open throughout the day, serving breakfast, food, hot and cold drinks and snacks. Do please join us.

Please, no boots in the clubhouse.

Are there water fountains/water supplies?

Yes. Water is available each side of the main building, where you will find boot wash facilities. Please ensure you turn off taps after use.

Is there a cash machine on site?

No.

Changing rooms
The changing rooms will not be available to visiting teams during the festival.

Where are the toilets?

The toilets are located just inside the main entrance of the clubhouse to the right, as well as in the changing rooms on the side of the main building.

Additional portaloos are available adjacent to the pitches.

Do you have covered spectator seating?

No. Please come prepared for the elements.

What will the weather be like?

Ask the Met Office.

In the event of extreme adverse weather your club’s main contact will be contacted by the organising team.

Litter and Rubbish

There are plenty of wheelie bins and designated recycling bins located around the grounds. We would appreciate all visitors using them to deposit their rubbish. In addition we will provide each team with refuse sacks. Please bag up all your rubbish and leave it at either a wheelie bin or the main control tent and we will collect it at the end of the day.

BBQs and Fires

Due to the obvious danger and fire risk posed, no BBQs or open fires are permitted.

Photography and Publicity

Please note that by entering the event you are acknowledging your image may be recorded and published.

A professional photographer (DE Photos) will be on site throughout the day, with photographs available to purchase from their stall.

Medical

All teams are required to provide first aid cover.

Physios and a mobile medical unit are on hand to provide additional medical assistance. Should a player be injured on the field of play then the co-ordinator for that particular pitch will be on hand to ensure first aid treatment is made available. Additional help can be summoned from the main control tent.

CODE OF CONDUCT – FOR PLAYERS AND SPECTATORS

We must all remember that today is a children’s rugby tournament – run purely for the fun and enjoyment of the children participating. The RFU core values of Teamwork, Respect, Enjoyment, Discipline and Sportsmanship capture the essence of what rugby is all about and are why so many of us have encouraged our children to take part in game, which is simply the ultimate team sport. All of us involved in rugby at this level have a great responsibility to instil these core values and to present the game for what it is today, please adhere to these core values – children learn from example and it is essential that we all set a good example at all times.

Good Spectators’ Guide

In the heat of the moment it is easy to get carried away with your emotions, which can lead to an unnecessary outburst; please remember that this has an impact on everyone around you.

Always act as a positive role model to all players. Remember children play sport primarily for their own enjoyment not for that of spectators. Acknowledge good individual and team performance from all players irrespective of the team in which they play. Respect match officials’ decisions, even if they appear to make a mistake – remember they are volunteers providing an opportunity for players to play rugby. Never verbally abuse players, coaches, match officials or fellow spectators; such behaviour can create a negative environment for players and their behaviour reflects this. Acknowledge effort and good performance rather than to win at all costs. Verbally encourage all players in a positive manner and never shout at the players. Encourage all players irrespective of the ability and regardless of the team in which they play.
