15. London Irish Amateur Rugby Event Vendors, Traders & FAQ's


London Irish Amateur Rugby Football Club run a number of events at our home ground of Hazelwood, Sunbury Upon Thames throughout the year.

Our events are diverse from Rugby tournaments to Beer Festivals. The attendance at our largest event the International Mini Festival can be upward of 3000 people.

We would love to hear from good quality local food vendors and merchandise traders who would like to participate in our events.

Frequently Asked Questions:

Insurance

  • All traders are required to carry public liability insurance and must provide this prior to the event. If there are 5 or more staff on your stall, including yourself then you have a legal obligation to carry Employers Insurance as well.

Risk Assessments

  • Risk Assessments are required for any rides, games or fireworks displays. These must be presented prior to the event.

Food Safety

  • Food traders are expected to provide copies of Food Hygiene certificates prior to the event.
  • Food traders are expected to comply with various food regulations dealing with food safety. Its a legal requirement that food businesses need to be registered with a local authority.
  • Allergens information and warnings MUST be displayed at all times.
  • Hot surfaces accessible to the public should have a warning HOT SURFACE sign displayed at all times.

Trade Stall Structures & Equipment

  • Traders must provide their own catering unit or tents. Any tent or marquee canvas textiles MUST meet fire safety standards and have all documents to support this.
  • Marquees have to be fit for purpose. Makeshift constructions are not acceptable.
  • If you have a small trade stall or tent, remember to bring ballast.

Gas and Electricity On Site

  • We do not have Electricity onsite.
  • Electrical equipment must be tested and certified as fit for purpose.

Gas Appliances and Cylinders

  • Please bring with you any LPG gas that you will require as there will not be any available on site.
  • Gas appliances must comply with relevant HSE regulations and must have undergone a Gas Safe check within the 12 months prior to the event.

Waste

  • You are responsible for removing your waste and disposing of it in a responsible manner.
  • You are responsible for good housekeeping throughout the event. Please keep your pitch (both front of house and back) clean.
  • You must bring at least one front of house bin – and if it is full please empty it!

Water

  • Water is available from outside taps at Hazelwood. A 63 acre site the water stand pipe could be a reasonable distance from your pitch.

Fire Safety

  • You are also required to have a fire extinguisher. Food traders must additionally have a fire blanket.
  • Fire extinguishing equipment must be in date and certified as such. Minimum provision must include a fire blanket, water and chemical extinguisher.

Dogs

  • No dogs or pets will be allowed at market pitches anywhere on the events site

Food Stall Packaging

  • No packaging will be supplied by LIARFC. Caterers are responsible for their own packaging. We encourage the use of eco friendly products. No polystyrene, glass or plastic will be allowed on-site – paper/ wooden products only please.

Prohibited Items

There are some items that we do not want sold on event site. Food traders must not sell anything other than items of food and drinks. No trader may sell the following:

  • No tobacco or legal highs including NOS gas
  • Nothing in glass containers
  • weapons, anything that can be interpreted as a weapon
  • explosives of any sort
  • racist or offensive material
  • tin foil barbecues or charcoal
  • sky lanterns
